At Ethaca, the protection of the privacy and security of our customers and site visitors is one of our core responsibilities, as we fully recognise the importance of protecting the personal data of our customers (e.g. identification data, financial information such as, for instance, credit card numbers) and the information of the users of our website. For this reason, Ethaca adopts specific policies and security measures to comply with applicable data protection laws and to protect your personal data.

We would like to highlight that your information is yours; it belongs to you, not us and thus you should be able to control it and you should know about and feel safe with everything that we do with your information. a. What is personal data?
The term “personal data” is defined under the European Union Directive 95/46/EC concerning the protection of personal data and it means any information that relates to you and that could be used, either directly or indirectly, to identify you. It generally includes your name, address, telephone number, email address, month and day of birth, IP address, billing and account information and other information incidental to our providing goods and services to you.

b. Consent
By using the website, uploading or providing any personal data to the website, other than for career purposes, you accept and agree to be bound by the Terms and Conditions set out in this Privacy Policy and you consent to Ethaca disclosing any personal data, including any secrets, in accordance with the Terms and Conditions set out in this Privacy Policy except for the processing for which we ask for your express consent pursuant to the applicable laws.

c. Sharing personal data
i. We may share your details in connection with a substantial corporate transaction, such as a merger, consolidation, asset sale, or in the unlikely event of bankruptcy. Where required by applicable law, a notice informing you of any such business transfer will be sent to you if you have previously provided us with your contact information.

ii. We may also disclose information about our users, including contact information, where we have a legal duty to do so, including in response to court orders or legal process and to comply with other legal obligations imposed on us.

d. Minimum age
Ethaca does not accept registrations or orders submitted by and will not knowingly collect or use personally identifiable data from, anyone under the age of eighteen (18) years, or age of majority in his/her country. e. External links to other sites
This Privacy Policy only covers the website that we own and control. It does not cover links from our website to other third party websites and information collected by the parties who own and control those websites or their use of cookies. Ethaca is not responsible for how other organisations collect, use, disclose, or secure the information that you provide them when you access third party websites. We strongly recommend that you refer to the specific privacy policy and cookies policy of the third party website as these may differ from our own and contact the relevant organisation if you have concerns regarding the way your personal information will be used on other websites.

f. Security
Ethaca is committed to protecting your personal data. We have implemented physical, technical and organisational security measures to help protect your personal data from misuse, loss and unauthorised alteration. However, despite our best efforts to protect your personal data, including reviewing our security procedures against new technology, please be aware that no security measures (including security related to the Internet data transmission or storage) can be guaranteed to be infallible from access by unintended recipients. That said, although we do everything we can, we cannot ensure or warrant the security of any information you transmit to us. By submitting your personal data you accept this and will not hold us responsible for any breach of security unless that breach is due to our negligence.

g. Retention of personal data
We will retain your personal data only for the period of time necessary to fulfil the specific purposes for which the data were collected or further processed, if for compatible purposes.

h. Changes to the Privacy Policy
We may occasionally change this Privacy Policy, for example, to comply with new requirements imposed by the applicable laws or technical requirements. We will post the updated policy on our website. You are thus strongly advised to periodically review this page.

a. How do we collect information about you?
In any interaction you may have with Ethaca, we collect information in three possible ways:

i. When you directly give it to us (“Directly Provided Data”)
When you sign up for our site, or any time you visit Ethaca, or purchase our products, or communicate with us, you may choose to voluntarily give us certain information.

ii. When you give us permission to obtain from other accounts (“User Authorised Data”)
Depending on your settings or the privacy policies for other online services, you may give us permission to obtain information from your account with those other services. For example, in using social media (e.g. by signing onto Ethaca using your Facebook log-in), you may give us permission to access your information in that social media channel or in other services.

iii. When our systems collect information or data as you use our website, or use websites that are connected to Ethaca (“System Collected Data”)

• To ensure that our users are genuine and to ensure that we are paid for goods that we despatch. • To make Ethaca’s products and services better. Ethaca uses and stores site statistical information and log data, to help it identify potential areas to improve the services we offer.

c. How do we share the information we collect?

We are very careful who we share your information with, but it is important that you understand when that sharing takes place and why, and that’s what this section explains. The limited instances where we may share your information include:

• We share your information externally with our core service providers when required for our business to function. Also, like any type of business, Ethaca relies on a number of external companies to provide it with key services, products and applications in order to be able to provide the services. These include, inter alia, companies who help us make deliveries, support our IT systems, enable our marketing.

• We share your information when we’re required to comply with a legal request.

• We share your information where we believe it’s reasonably necessary to protect Ethaca or our customers. For instance, we may disclose your information if we believe that disclosure is necessary to (a) investigate, prevent, take action regarding suspected or actual illegal activities, fraud, security or technical issues; (b) enforce or apply our terms and conditions of usage; (c) defend ourselves against any third-party claims or allegations; (d) protect the security or integrity of our service; or (e) to exercise or protect the rights, property, or safety of Ethaca, our customers, or others.

• We share your information externally with other partners. Ethaca works with a number of other partners who, whilst not essential for our business to operate, do enhance your experience with Ethaca and your usage of the services. This includes our marketing partners and social media partners (like Facebook or Instagram, if you’ve chosen to link your Ethaca account to those services or publish your activity on Ethaca to them).

• We may share your information externally if we are considering a corporate transaction.

• We may share information externally with companies hosting Ethaca plugins and similar technologies to help them measure Ethaca’s generated traffic.

d. How long do we keep your information for?

In general, we retain the information you provide either while your account is in existence, or as needed to be able to provide the services to you, or (in the case of any contact you may have with our Customer Care team) for as long as is necessary to provide support-related reporting and trend analysis solely.
If legally required or if it is reasonably necessary to meet regulatory requirements, resolve disputes, prevent fraud and abuse, or enforce our Terms and Conditions, we may also retain some of your information for a limited period of time as required, even after you have closed your account or it is no longer needed to provide the services to you.

e. How do we go about protecting your security?

As soon as we receive your information, we use various security features and procedures to try to protect the personal information that you provide and to prevent unauthorised access to that information. For example:
• We also offer secure “https” access to the transactional parts of Ethaca.com website.
• Access to your data on Ethaca is password-protected and sensitive data (such as credit card information) is protected by SSL encryption when it is exchanged between your web browser and the Ethaca Services. To further secure your credit card, we also don’t keep details of the security code (or CCV number) that you need to input in order to complete an order using your credit card.

• To protect any data you store on our servers, we regularly monitor our system for possible vulnerabilities and attacks.

• Despite the steps we take to protect your personal data, unfortunately, security cannot be guaranteed. There are therefore a number of general things we would also recommend that you do. Please, help keep your account safe by using a strong password that includes characters other than just letters. We will also encourage you not to use the same password across all or many of your online accounts.
